Duplicates/Events
Check if the Work Order being raised has already been created or if there are any events that require attention as part of the Work Order creation
Sometimes when creating a Work Order, it is possible that there are Work Orders that already exist that are potential “Duplicates”. It is also possible that the Building the Work Order is being created for has a “Building Event” on it. If either/both of these are present, the "Duplicates/Events" tab will appear during the Work Order creation process. There is also the possibility that upcoming Planned Work Order (previously known as PPM) are displayed in which the User can link the Work Order to.
If there is an upcoming Planned Work Order, the user will be asked if they want to link the Work Order they are raising to that Planned Work Order.
Note: “Building Event” and Planned Work Orders that can be linked, are only displayed if the User has the correct permission to view them.
Once the contact and priority has been selected from the Contact tab and duplicates and/or events and/or potential link Work Orders are present, the "Duplicates/Events" tab is displayed. Here, the User can check existing Work Orders that could be potential “Duplicates”. as well as any “Building Event” that that may be current and any link to any relevant Planned Work Orders. To check whether a Work Order is a duplicate or not, click <Check> next to the desired Work Order.
Clicking <Check> opens up the “Check Work Order Duplicate” screen. This screen displays the details of the Work Order that is being checked as a “Duplicate”. If the Work Order is duplicate click the <Duplicate - Cancel Creation> button which will stop the creation and display the “duplicate” Work Order in it's place. If the Work Order is not a “duplicate”, click the <Non-Duplicate> button.
This will then close the “Check Work Order Duplicate” screen and then mark the Work Order as Green to signify it has been checked.
To link the Work Order to an existing Work Order, locate the Work Order in the list of Potential Link Work Order and click <Link>. The Work Order will then be linked when this Work Order is created. To unlink the Work Order, in case the incorrect Work Order was linked, just click <Unlink> next to the desired Work Order.
Once all the necessary checks are in place, click the <Next> button to proceed with the Work Order creation as normal. The summary is then updated with the number of duplicates, how many were checked and how many Building Events there were.
